1. Who We Are

This Privacy Policy describes how Virtually OnSite LLC ("Company," "we," "us," or "our") collects, uses, and shares information when you use VOS, our browser-based remote visual support platform ("Service"). Our contact address is 1117 46th Ave, Rock Island, IL 61201. Email: info@vos.live.

This Privacy Policy also applies when you access or use our websites, mobile applications, and other digital properties on which this Privacy Policy is posted (collectively, the "Websites"); communicate with us by email, telephone, or other means ("Communications"); or otherwise interact with us in connection with the Service. The Websites, Service, and Communications are collectively referred to as the "VOS Services."

2. Information We Collect

Depending on how you interact with the VOS Services, we may collect the following categories of information:

Information you provide: When you create an account or contact us, we may collect the following:

Basic identifying information: Your name, work email address, company name, and billing information. Team members added by an administrator may also provide their name and email. This may include account credentials and other similar identifiers.
Session data: When support sessions are conducted through the VOS Services, we process video, audio, and any annotations created during those sessions. If recording is enabled by the session organizer, this content is stored on your organization's behalf.
Communications: The contents of Communications you send to us, including support requests, inquiries, feedback, and correspondence.
Usage and technical data: We automatically collect standard web access logs including IP address, browser type, pages visited, and session duration. This data is used for security, performance monitoring, and product improvement.
Cookies and similar technologies: We use essential cookies to keep you signed in and to remember preferences such as language and theme. Our Websites and the web version of the VOS Services also use Google Tag Manager to load Google Analytics, which measures how visitors use them, and the Meta Pixel, which measures the effectiveness of our advertising on Facebook and Instagram. These tools set their own cookies and receive information such as your IP address, browser and device details, pages viewed, and actions such as starting a trial or subscribing. Our mobile apps use Google Analytics for Firebase to measure app usage. See Section 5 for details and your choices.
Commercial Information: Information such as the nature of the VOS Services you've engaged with.

We do not intend to collect sensitive personal information except where it is necessary to provide the Services or where it is included in information submitted by users or participants through the Services. We process any such information only as necessary to provide, secure, support, and maintain the Services; comply with law; and as otherwise permitted by applicable law.

3. How We Collect Information

Directly from you or your organization: We collect information when you create or administer an account, use the VOS Services, enter information into the Websites, engage in a support session, make a payment, communicate with us, or otherwise provide information to us.
Automatically: We and our service providers may automatically collect certain information through cookies, log files, and similar technologies when you use the Websites or Service, open or click our emails, or otherwise interact with us.
From third parties: We may receive information from your organization's administrator, payment processors, cloud and video-infrastructure providers, identity or authentication providers, fraud-prevention providers, and other vendors that help us operate the VOS Services.

4. How We Use Your Information

To provide, operate, and improve the VOS Services.
To authenticate users and manage accounts.
To process subscription payments and send billing communications.
To respond to support requests and inquiries.
To detect and prevent fraud or unauthorized access.
To comply with legal obligations.
To maintain records, troubleshoot and repair errors, protect the security and integrity of the VOS Services, enforce our agreements, establish or defend legal claims, and otherwise support our core business functions.
To communicate with you about the VOS Services, including service-related notices, account communications, and, where permitted by law, marketing or promotional communications.
To measure and improve our Websites and marketing, including understanding which ads and campaigns lead people to try or subscribe to the VOS Services.

We do not sell your personal information. We do not use session recordings or support content for advertising, model training, or any purpose unrelated to delivering the Service.

Session recordings, audio, annotations, and other participant-provided content may incidentally contain sensitive personal information depending on what participants choose to communicate or display. We process that content only as necessary to provide, secure, support and maintain the VOS Services; comply with law; and for other purposes permitted by applicable law. We do not use session content to create biometric identifiers, to uniquely identify individuals, for cross-context behavioral advertising, or for model training.

5. Sharing Your Information

We may share your information with trusted service providers who help us operate the Service (such as cloud infrastructure, payment processing, and video infrastructure providers), under confidentiality agreements that prohibit them from using your data for their own purposes.

We may disclose information if required by law, court order, or government authority, or to protect the rights, safety, or property of Virtually OnSite LLC or others.

Analytics and advertising providers: We use Google Analytics (loaded through Google Tag Manager) and Meta's advertising tools (the Meta Pixel and the Meta Conversions API) to measure use of our Websites and the web version of the VOS Services and the performance of our advertising. These providers receive information such as your IP address, browser and device details, pages viewed, ad click identifiers, and actions you take, such as starting a trial or subscribing. When you start a trial or subscribe, we may also send Meta an event that includes a one-way hashed internal identifier and the plan value. We never send your name, email address, phone number, or any session content to these providers. Google and Meta process this information under their own privacy policies and may use it to provide and improve their services, including advertising.

Session recordings, video, audio, annotations, screenshots, notes, and other session content are never shared with analytics or advertising providers.

Your choices: You can block or delete cookies in your browser settings, use the Google Analytics Opt-out Browser Add-on (tools.google.com/dlpage/gaoptout), and manage how Meta uses information for ads in your Facebook or Instagram ad preferences. Blocking analytics and advertising cookies does not affect your ability to use the VOS Services.

6. Data Retention

We retain account and billing information for as long as your account is active and for a reasonable period thereafter to satisfy legal, financial, and dispute resolution obligations.

Session recordings are stored according to your organization's plan and retention settings. You may delete recordings at any time from your account. Upon account termination, we will delete or anonymize your data within 90 days unless retention is required by law or necessary to resolve disputes or enforce agreements, required by a legal hold, or reasonably necessary for backup, security, fraud-prevention, accounting, or compliance purposes.

7. Security

We implement organizational and technical safeguards including encrypted data transmission (HTTPS/TLS), access controls, and regular security reviews. No method of internet transmission or electronic storage is completely secure, and we cannot guarantee absolute security.

Our safeguards are designed to be appropriate to the nature of the information we process and the risks associated with that processing.

8. State Privacy Notices

Nevada Privacy Notice

If you are a Nevada resident, you have the right to submit a request directing us not to make any sale of your personal information, as defined under Nevada law. We do not sell your personal information as defined under Nevada law. However, to request email confirmation that we do not sell your personal information, and will not do so in the future, please send an email to info@vos.live.

California Privacy Notice

The following disclosures are made pursuant to the California Consumer Privacy Act, as amended by the California Privacy Rights Act and its implementing regulations (collectively, the "CCPA").

Definitions

Personal information: This is information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, to you or your household.
Sensitive personal information: This is information such as your social security number, driver's license number, state identification card, passport number, account log-in and password, financial account and password, debit or credit card number and access code, precise geolocation information, race, ethnic origin, religious or philosophical beliefs, union membership, the content of your mail, email or texts other than those communications you have with us, genetic data, biometric information, health information, or information that concerns your sex life or sexual orientation.
Sell, sale, or sold: This means the selling, renting, releasing, disclosing, disseminating, making available, transferring, or otherwise communicating orally, in writing, or other means, your personal information to a third party for money or other valuable consideration.
Share, shared, or sharing: This means the sharing, renting, releasing, disclosing, disseminating, making available, transferring, or otherwise communicating orally, in writing, or other means, your personal information to a third party for cross-context behavioral advertising, whether or not for monetary or other valuable consideration.

Your Rights

You or an authorized agent you designate on your behalf may submit the individual requests outlined below. Upon receipt, we will take reasonable steps to verify you and your authorized agent's identity prior to responding to the request, which may include in certain circumstances you signing a declaration under penalty of perjury. If an authorized agent is submitting a request on your behalf, you must submit a copy of: (1) a written authorization demonstrating you have authorized the agent to submit a request on your behalf; and (2) provide separate proof verifying your identity.

Right to Know: You have a right to request that we disclose, subject to certain exceptions, information concerning: (1) the categories of personal information we have collected from or about you; (2) the categories of sources from which we have collected that personal information, and the business or commercial purpose for the collection; (3) the categories of third parties with whom we have shared, sold, or disclosed your personal information, including the business or commercial purpose for said sharing, selling, or disclosure; and (4) specific pieces of your personal information, subject to appropriate exceptions.
Right to Delete: You have a right to request that we delete your personal information, subject to certain exceptions.
Right to Correct: You have a right to request that we correct your personal information, subject to certain exceptions.
Right to Opt Out: You have a right to request that we not sell or share your personal information.
Right to Limit Use of Sensitive Personal Information: You have a right to request that we limit our use of your sensitive personal information to necessary uses only.
Right to Non-Discrimination: You have a right to exercise the above rights without being discriminated against under the CCPA.

Responding To Requests. Once you have submitted your request, we will respond within the time frame permitted by applicable law.

We do not engage in a "sale" or "sharing" of your personal information under the CCPA. We have no actual knowledge that we sell the personal information of California residents who are under 16 years of age.

We do not use California resident sensitive personal information for any purpose other than is permissible under the CCPA. Specifically, we do not use sensitive personal information of California residents to derive characteristics about California residents.

Right to Delete: You have a right to request that we delete your personal information, subject to certain exceptions. To submit this request, send an email to info@vos.live.
Right to Correct: You have a right to request that we correct your personal information, subject to certain exceptions. To submit this request, send an email to info@vos.live.
Right to Opt Out: You have a right to request that we not sell or share your personal information or use your personal information for targeted advertising or profiling in furtherance of a decision that produces a legal or similarly significant effect, subject to certain exceptions. To submit this request, send an email to info@vos.live. In all U.S. Consumer Privacy Law states except Florida, Indiana, Iowa, Kentucky, Tennessee, Utah, and Virginia, you may also designate an authorized agent to submit an opt out request on your behalf by sending an email with written proof of such authorization to info@vos.live.
Right to Obtain a Copy: In some circumstances, you have a right to request a copy of the personal information we keep about you, subject to certain exceptions. To submit this request, send an email to info@vos.live.
Right to Obtain a List: In some circumstances, you have a right to request a list of the third parties or categories of third parties with which we share or sell your personal data, subject to certain exceptions. To submit this request, send an email to info@vos.live.

Responding To Requests. Once you have submitted your request, we will respond within the time frame permitted by applicable law.

Process to Appeal. If we decline your request and you believe our declination was in error, you may submit an appeal by sending an email to info@vos.live.

9. Do Not Track

Some browsers send a "Do Not Track" signal. Because there is no industry standard for responding to such signals, we do not alter our data practices in response. We do not engage in cross-site behavioral tracking.

10. Children's Privacy

The VOS Services are not directed to individuals under 18 years of age. We do not knowingly collect personal information from children. If we become aware that we have collected information from a child, we will delete it promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes via email or a notice within the VOS Services. Continued use after changes are effective constitutes acceptance of the revised Policy.
